A Job Description is a professional description of a particular job. If you’re an HR professional who has finished his/her homework with a thorough Job Analysis, then it’s time you put that information you gathered through the Job Analysis to use.

What is a Job Description?

A Job Description, or simply JD, is a document containing detailed information regarding a job’s tasks, duties, responsibilities, reporting relationships, as well the knowledge, skills, abilities, and experience required to perform that job.

So basically, JD is the result of a Job Analysis. Even if your organization already has the JDs stored up in the HR archive, it’s better to update them from time to time. But if a new position has popped up, then JD is the natural second step to a Job Analysis.

Writing a Job Description

To create a good JD, it is important to consider two questions:

  1. What information to include?
  2. How to include that information in an organized manner?

Below is a step-by-step guide that will help you not only with the contents, but also the formatting.

Title and Summary

The first step to writing a good JD is to get the title right. The title should communicate exactly what the job is about. With the title, be careful that it should neither be too glamorous, nor too vague. It should resonate with the terms and jargons prevalent in the industry. It is also helpful to add a short description of the job, defining its basic purpose and the value it creates for the firm.

Reporting Relationships

The second step is to clearly define the reporting relationships of the job. If it’s an entry-level posting, then make sure to highlight the supervisory rank of that post. For a managerial position, you should also include the scope of authority it offers. Lastly, it is also important to mention the level of supervision a person must receive or provide once they occupy it.

Responsibilities

This section should include a detailed account of all the key responsibilities and duties that a job entails. Not only should you mention the essential tasks needed to be performed, you should also list down the regular as well as the specialized roles.

Essential and Desirable Criteria

Any job requires some basic qualifications and skills required to perform it. In this section, you should clearly state the basic qualification to apply for this job and the prerequisite skill-set needed to perform it. There are also some additional skills and qualifications that are not essential for the job, but can be acquired along with performing it. Here, you can also mention those extra-skills.

Company/Team Overview

This part of the JD is your time to shine. Write down an overview of your firm, the services you provide and also the key highlights of your firm’s history. Another important thing is to include the culture and work-environment of your company. This information helps in attracting the talent pool when you summarize the JD into your Job advert.

Get it approved

Lastly, get the JD approved from  your firm’s higher-ups in the HR by getting their signature. And don’t forget to update it from time to time accordingly with the market requirements!
